EMBRACING DIGITAL TRANSFORMATION

As the owner of a management company deeply involved in community association management, I'm following the legislative developments concerning HB1021 and SB1178. First and foremost, it's important to acknowledge the issue at hand. In my experience, delays in record transfer are not unheard of in our industry. However, I must emphasize that this is not the norm. As a management firm, we have also faced challenges when records were not transferred to us promptly by other firms. Like any industry, there are outliers, and these exceptions have inspired the proposed legislation. 

 

What I've observed more frequently is the challenge posed by physical, paper-based records. Many associations still rely on cumbersome paper files, which can be disorganized and difficult to manage. This traditional approach to record-keeping could be more efficient, and there is a risk of delays or errors in transferring these records when management changes.

 

At our firm, we transition into a digital format as soon as we commence our management services. This shift to digital record-keeping serves multiple purposes: it streamlines the management process, ensures better organization of records, facilitates ease of transfer when required, and, most importantly, provides easy access to records. 

 

Therefore, while I appreciate the intent behind the new bills to ensure timely return of records, I believe our legislators should also focus on encouraging or perhaps mandating digital record-keeping within our industry. Digitization is not just a matter of convenience; it's a step towards greater efficiency, transparency, and accountability. It simplifies providing and transferring records and reduces potential disputes or non-compliance.

 

In conclusion, while the upcoming legislative session promises to bring changes to our industry, it's an opportune moment for us to reflect on improving our practices. Embracing digital transformation is not just about compliance; it's about moving our industry forward into a more efficient and transparent future.
